Avalon Health Care is seeking a dependable, organized and dedicated Receptionist/Secretary to join our outstanding team at our Corporate Office in Salt Lake City, Utah!
The receptionist greets visitors conducting business with the corporate office and directs them to the appropriate person, answers all incoming calls, takes messages, answers questions, and directs calls to the appropriate person. Other duties include, but are not limited to:
Runs high volume copy machines and performs binding and finishing work.
Ensures copiers are working properly, clears paper jams, and informs technicians of specific problems.
Responsible for ordering all office supplies, printer and copier toners. Orders kitchen supplies (candy and snacks, beverages, paper products) and ensures the refrigerator and cabinets are stocked with same by office assistants. Orders bathroom supplies (toilet paper, paper towels, soap) and ensures office assistants keep copy/supply room and kitchen organized and tidy.
Receives and distributes all incoming e-fax transmissions to corporate personnel.
Performs filing duties as requested by the office manager or corporate officers, which may include retrieving files, ‘purging‚ and archiving old files.
Maintains conference room schedule and. Orders lunches for meetings. Keeps reception area neat and organized.
Maintains and tracks office assistant assignments and prioritizes same.
Codes all corporate office invoices according to chart of accounts and distributes to AP.
Tracks Staples and corporate credit card use. Retains corporate credit card receipts and codes the monthly invoice.
Provides administrative assistant duties for officers, directors, office manager, benefits specialist, and executive assistants as needed with special projects, research and overflow work.
Responsible for maintaining corporate telephone lists and distributing the same as needed.
Assists with employee events such as parties and holidays and mass mailings such as holiday cards, invitations, etc.
Orders business cards for corporate and regional employees.
Orders corporate office stationary and envelopes.
Responsible for travel lap tops and projectors, sets up reservations.
Responsible for petty cash and stamp/candy fund.
Keeps Office Manager informed of any problems or issues that may arise needing handling with discretion.
